Booking terms & cancellation policy

How booking, payment, changes, and refunds work when you travel with us. Last updated [INSERT: date].

1. Who we are

These terms govern the travel services arranged by Spice Isle Travel & Tours ("we", "us", "our"), operated by [INSERT: legal entity name], for you ("you", the traveller or the person making a booking). By making a booking or payment with us, you agree to these terms.

2. Our role

We arrange and coordinate travel services in Grenada — airport transfers, ground transfers, tours, concierge services, and accommodation referrals. Many of these services are delivered by independent local suppliers, including drivers, guides, tour operators, and accommodation providers.

Where we arrange a service that is provided by a third-party supplier, we act as an intermediary between you and that supplier. That service is also subject to the supplier's own terms and conditions. We select and coordinate our suppliers with reasonable care, but we are not the provider of those services and are not responsible for the acts or omissions of independent suppliers beyond that duty of reasonable care. We do not sell flights; any flight links we provide are for your convenience and any booking is made directly with the airline or its agent.

3. Booking & confirmation

You request services by message or through our website, and we reply with a quote setting out the services and prices. A booking is confirmed only once we have received your deposit (or full payment, where stated) and sent you written confirmation. Until then, prices and availability are not guaranteed. Quotes are valid for [INSERT: e.g. 7] days unless we state otherwise.

4. Prices & payment

Prices are quoted in [INSERT: US dollars (USD)] and cover only the services listed in your confirmation. A deposit of [INSERT: e.g. 25% of the total, or a fixed amount] is required to confirm your booking, with the balance due [INSERT: e.g. on or before arrival]. We accept payment by [INSERT: card via our secure checkout, and any other methods you offer]. Card payments are processed by our payment provider; we do not store your card details.

5. Cancellation & refunds (by you)

If you need to cancel, contact us as early as possible. The following applies to cancellations you make, calculated from your arrival date:

  • More than [INSERT: 30] days before arrival: refund of all amounts paid, less the non-refundable deposit [INSERT: and/or a processing fee].
  • [INSERT: 15]–[INSERT: 29] days before arrival: [INSERT: XX]% refund of the total.
  • [INSERT: 7]–[INSERT: 14] days before arrival: [INSERT: XX]% refund of the total.
  • Fewer than [INSERT: 7] days before arrival, or no-show: no refund.

Some services carry their supplier's own cancellation terms, which may be stricter than the above. Where we have already paid a supplier on your behalf, those amounts are non-refundable. Approved refunds are returned to your original payment method within [INSERT: e.g. 10] business days.

6. Weather & events beyond anyone's control

Grenada's weather can change quickly. Where a service cannot safely proceed for reasons beyond our control — weather, sea conditions, road closures, or other force majeure — we will first try to adjust the timing or route, then offer a reschedule or a credit. A cash refund is not guaranteed where a service was made available but could not be used for such reasons.

7. If we or a supplier must change or cancel

If a confirmed service becomes unavailable, we will offer you a comparable alternative or a refund of the amount paid for that service. Our liability in that case is limited to the amount you paid us for the affected service.

8. Your responsibilities

You are responsible for your travel documents, passports, visas, and any health or entry requirements for Grenada. You agree to provide accurate booking details (including flight numbers and party size) and to behave respectfully toward our staff and suppliers. We may decline or end a service where conduct is unsafe or abusive, without refund.

9. Travel insurance

We strongly recommend comprehensive travel insurance covering cancellation, medical care, and personal belongings. Travel insurance is your responsibility.

10. Limitation of liability

To the fullest extent permitted by law, our total liability arising from any booking is limited to the amount you paid us for the affected service. We are not liable for indirect or consequential losses, or for the acts or omissions of independent suppliers beyond our duty of reasonable care. Nothing in these terms limits liability that cannot be limited by law.

11. Complaints

If something isn't right, tell us at once — ideally during your trip, so we can put it right. You can reach us on WhatsApp or at [INSERT: contact email]. If a concern remains unresolved, contact us in writing within [INSERT: e.g. 30] days of your return.

12. Seller of travel registrations

Where required by the state in which you reside, our seller-of-travel registrations are: California CST# [INSERT: number once registered]; Florida ST# [INSERT: number once registered]; Washington [INSERT: number once registered]; Hawaii [INSERT: number once registered].

13. Governing law

These terms are governed by the laws of [INSERT: governing jurisdiction], and any dispute is subject to the courts of [INSERT: jurisdiction].
